Instructional and Learning Technology Administrative Assistant

Location: Whitman College Technology Services

Position summary:

    • This administrative position arranges logistics for technology support and equipment for campus classrooms, events, and other employee and student usage. This position also occasionally provides limited basic assistance in equipment support and maintenance. As a member of the Instructional and Learning Technology group of Whitman College Technology Services (WCTS), this position works closely with the Manager of Instructional Multimedia Services and collaborates with other IT members to provide an information technology environment that is consistent with the goals and needs of Whitman College students, faculty, and staff.
    • Respond to and/or appropriately route communications to and from:
      • Primarily: classroom and event technology WCTS staff.
      • Secondarily: other WCTS staff as needed to support specific operations/projects.
    • Provide logistical coordination for the technical support of campus events by:
      • Assuring all event technical support details are met and confirmed with appropriate WCTS staff, Conferences and Events staff, and event organizing clients using multiple communication avenues, inventory and budget tracking tools, and reporting software.
      • Proactively seeking upcoming event technical support information from various campus constituents.
      • Play lead role in scheduling, managing, and supporting* campus usage of video conferencing.
      • Assist with keeping and maintaining accurate inventory of WCTS equipment, especially equipment pertaining to classrooms and events.
      • Coordinate and report on classroom and event technology utilization.
      • Assist in creating and maintaining WCTS web pages.*Assist other WCTS staff in training, managing, and scheduling of student workers.
      • Provide limited, basic auxiliary technical support for events.
    • * Perform other duties as assigned.* no prior technical experience necessary, training provided on the job!

Required Knowledge, Skills, and Abilities:

  • Must be able to explain and/or demonstrate possession of the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation.
  • Passion for helping to support teaching and learning in higher education.
  • Working knowledge of current practices and methods of administrative/office support and assistance, including but not limited to:
    • Communications (answering/routing/composing) via telephone, email, chat/messaging, video conferencing
    • Scheduling
    • Record upkeep and filing
    • Purchase and management supplies and equipment
    • Creation and maintenance of forms
    • Working knowledge of a variety of software applications, including but not limited to word processing, spreadsheet, presentation, and document sharing.
    • Effective building of relationships with faculty, staff, and students.
    • Value, respect, and welcoming of diverse human perspectives and experiences.
    • Excellent written and oral communication, and the ability to work well in teams.
    • Excellent organizational skills and methodical, careful attention to detail.
    • Ability to work under pressure, maintaining efficiency and composure.
    • Ability to manage student employees when relevant.
    • Commitment for learning and experimenting with new skills
    • .Satisfactory clearance of background check.

Preferred Knowledge, Skills, and Abilities:

  • The following attributes are not mandatory, but we desire as many as possible in the ideal candidate:
    • Two or more years of college and/or business school training
    • Event planning/coordination/logistics experience
    • Supervisory experience  

Minimum Qualifications: 

  • High school education or GED
  • Experience with office administration and/or demonstration of deep commitment to those skill sets
